Managed connections
Understand app connections that administrators configure and share for a workspace or team.
Managed connections are app accounts configured by an administrator. Instead of every citizen developer connecting the same service separately, an admin can provide a shared connection with the right access and governance.
You see them on Apps under Managed Connections.
When managed connections help
Managed connections are useful when:
- A workflow should use a team account, not one person's personal account.
- Access needs to be controlled by administrators.
- A production workflow must keep running even if a user leaves.
- Multiple workflows need the same approved business system connection.
Examples include a support mailbox, a finance system account, or a workspace-approved CRM integration.
How to use a managed connection
Open Apps
Go to Apps.
Find Managed Connections
Look under Managed Connections. These are pre-configured by your administrator.
Use it in a workflow or agent
Open the workflow step or agent tool that needs the app. Select the managed connection when the form asks for Connection.
What you can and cannot change

If a managed connection is missing from a workflow field, you may not have permission to use it in that project.

Request a managed connection
When asking an administrator, include:
- App name
- Business process or workflow name
- Project where it will be used
- Account that should be connected
- Whether it is for testing or production
