Users and roles
Invite users, assign roles, and keep workspace access aligned with business responsibility.
Users and roles decide who can enter Automate and what they can do. Use Adminspace to keep access intentional, especially for production workflows and shared agents.
Open Admin Panel → Users or Admin Panel → Roles.
The relationship
| Concept | Meaning |
|---|---|
| User | A person who can sign in to Automate |
| Role | A reusable permission set |
| Workspace membership | Which workspace a user belongs to |
| Project access | Which project-level content the user can work with |
Roles should match business responsibility, not job titles alone. For example, a finance operations builder may need more workflow permissions than a finance viewer.
Review users
Open Users
In Admin Panel, go to User Management → Users.
Search or filter
Find the person you want to review. Confirm workspace membership and role assignment before editing.
Update access
Add, change, or remove the user's access based on their current responsibility.
Users shows who can sign in and lets SuperAdmins review workspace and role access.
Manage roles
Open Admin Panel → Roles.
Roles centralise permission decisions. Instead of customising every user one by one, create roles that match common responsibility levels, then assign users to those roles.
Examples:
| Role idea | Typical purpose |
|---|---|
| Workspace viewer | Read agents, workflows, and execution history |
| Workflow editor | Build and test workflows |
| Agent builder | Create and configure agents |
| Workspace admin | Manage workspace-level users and settings |
| SuperAdmin | Manage platform-level Adminspace settings |
Access review checklist
Review access when:
- A user joins or leaves the organisation.
- A user changes team or responsibility.
- A project moves from testing to production.
- A managed app or AI connection is added.
- A workflow starts touching sensitive systems.
